Generating an e-invoice is the easy part — there are even free online generators for it. What takes time is everything around it: the offer the invoice comes from, the client data you need for it, the incoming payment, the reminder when it's late and filing the original. Turn those steps into one connected flow and you save far more time than a standalone invoice generator ever can.
A generator turns data you type in into a correct file. That's valuable, but it knows nothing about your offer, your client or the payment. So you keep typing: client data into the generator, invoice number into the spreadsheet, payment into the calendar, file into the folder. The e-invoice is correct — your back office is as scattered as before.
It's the same principle behind every section of this blog: capture information once, and connect instead of copying. More: The Complete Guide: How to Reduce Administrative Work
SmoovOps connects offer, invoice, e-invoice, payment and reminders in one place, in German and English, and works offline too. You can receive e-invoices on every plan and send them from the Starter plan. What SmoovOps isn't: accounting software. There's no tax filing via ELSTER, no DATEV export and no sending via Peppol. You can export your data at any time and hand it to your tax advisor.
A translator first used a free generator for her e-invoices. The invoices were correct, but for each one she copied client details, services and amounts from her offer — and then entered the payment by hand. With a connected flow, those copying steps disappeared; the e-invoice went from extra work to a by-product.
For your last invoice, count how many times you typed the same data in different places — from offer to filing. Every repetition is a step a connected flow makes unnecessary.
Is a free e-invoice generator enough? For the odd invoice, yes. For regular invoicing, the retyping and manual updates cost more time over time than a connected tool.
Does SmoovOps replace my tax advisor? No. SmoovOps organises your day-to-day invoicing and payments; tax returns and bookkeeping stay with your tax advisor.
Can I take my data with me? Yes. All data can be exported as CSV, Excel or ODS at any time — on every plan.
Note: This article is not tax advice. The binding sources are the German Federal Ministry of Finance and your IHK (chamber of commerce) (both in German); for your specific case, ask your tax advisor.
